COVID-19: We All Play A Role in Keeping Our Community Safe

Enhanced Vaccine Certificate Program
The Ontario government announced an enhanced vaccine certificate program on September 1. Beginning September 22, we are required to obtain proof of full COVID-19 vaccination (two doses plus 14 days) along with photo ID for members of our fitness centre. Learn more about the process we’ve put in place for our members. Appointments at our Collaborative Care Centre are not impacted by the program and we are not required to ask about your vaccination status.

Here are some important updates we’d like to share about booking an appointment and your time in our facility.  

Before Your Appointment
Booking can be done 24/7 through the Heritage Fitness app. We are available to take your calls during our modified weekday business hours. If you receive our voicemail, please leave a message so we can return your call.

If you are new to our Collaborative Care Centre, welcome! We ask that you complete and submit the electronic intake form sent via email 24 hours before your appointment.

When you arrive at our facility, please park in one of the designated spaces for our Collaborative Care Centre clients, remain in your vehicle, and call us on your mobile phone to let us know you have arrived. We will ask you simple questions to ensure the risk of COVID-19 exposure is minimized for the safety of everyone.

Your practitioner will wave you in once they are ready for your appointment.

Please ensure you are wearing a cloth face mask before you enter the building. This can be an N95, surgical, or non-surgical mask; it’s your choice. If you do not have a mask, one will be provided for you. If you choose not to wear a mask, you will not be allowed into the building, the appointment will be cancelled, and you will be charged the cancellation fee which is 50% of your total appointment cost. Protecting the safety of our most vulnerable clients drives this decision.

During Your Appointment
Once in the building, please accompany the practitioner directly into the treatment room. We have closed off the shoe room and lockers for now.

If you are coming in to visit your personal trainer, please arrive in your exercise clothes and shoes as our lockers are not accessible currently. Workout bags will not be allowed in the facility at this time.

Our practitioners are allowing extra time between appointments to sanitize their space for your safety.

Our staff and practitioners will wear face masks.

If your appointment is for exercise rehabilitation with your trainer, please wear your workout clothing into the facility as there is no access to the locker rooms and no bags will be allowed in the facility.  Please also have your running shoes on when you come in for your appointment.

No hugging allowed. This is a tough one. We value our relationships with all of you and know that many of you have close relationships with our staff and practitioners. Until our local health units have lifted the physical distancing regulations, we will have to take a rain check on those hugs.

After Your Appointment
For payments, we encourage you to have your credit card on your account file for ease of contactless payment.  No cash will be accepted at this time.  Point of sale system can be used as long as your tap functionality is enabled (this is done through your bank). Our staff will sanitize the point-of-sale machine used for debit and credit card transactions after each use.

Follow-up appointments can be booked using the Heritage Fitness app or at the front desk. Please follow the prompts and directional signs we have placed on the floor to maintain adequate physical distancing.

Contact Tracing
We are obligated to take part in contact tracing in case of an outbreak in our community. Clients will be part of a tracking list and we may have to provide our client’s names to Health Services.

Precautionary Measures
During our temporary closure in the spring of 2020, we were  hard at work putting proactive measures in place to enhance the already stringent health and safety measures at our facility. Here is what we have in place for the safety of our clients, members, and staff:

Air Sanitization

  • Installation of hospital-grade UV-C air sterilization systems on each of our ten HVAC units to kill 99.9% of viruses, bacteria, and mold
  • Seven heat recovery ventilators (HRVs) to bring in a constant flow of fresh air
  • Industrial exhaust fans to create negative air pressure and bring in fresh air

Surface Sanitization

  • Use of hospital-grade antimicrobial vaporizers to disinfect surfaces
  • Use of CDC-recommended spray disinfectants for surfaces such as door handles, counters, switches, fitness equipment, and yoga props
  • Personal spray disinfectant bottles and towels provided to each exercise rehabilitation client, personal training client, and gym member for use while in our facility
  • Alcohol-based hand sanitizer distributed throughout the facility

Other Measures

  • Installation of safety shields at the front desk
  • Limiting the number of people that are allowed in the building at any given time
  • Limiting the number of new monthly gym and yoga memberships sold
  • Replacing carpets in the stretching area with easy-to-sterilize solid surface flooring

Some Last Words
We’ve created the above guidelines to help take the guesswork out of what to expect during your visit. We will continue to abide by the recommendations set out by our local health units and will update our protocols as recommended. Please always read the appointment reminders we send you to ensure you have the latest information. We recognize that this isn’t an ideal way to operate and is far from the norm. Please exercise patience during your visit and refrain from attempting to shame anyone around you. We are all doing our best. Please leave the policing of our policies to our exceptional staff and practitioners.

We ask that if you or the person(s) you live with are experiencing any cold- or flu-like symptoms OR if you have travelled outside of Canada in the last 14 days that you stay home to minimize the risk of community exposure. If you have any questions, call us before your appointment at 613-253-2112.
